Description
ELINSTEIN CAPITAL: Kigamboni Office is looking for a candidate who can perform tasks of a Typist and a Secretary responsible for typing customer documents and material, including reports, correspondence and policies. If you can
type fast and accurately and can check documents for grammar, spelling and punctuation errors under tight deadlines, we’d like to meet you. For this role, it’s essential to handle sensitive information with confidentiality.
As a Secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce. RESPONSIBILITIES

• Photocopying, faxing and franking
• Managing the post
• Maintain filing
• Transfer data from paper formats into digital files or database systems
• Edit completed work for grammar, spelling and punctuation
• Gather and organize typing material
• Maintain physical and digital filing systems
• Scan and print files, as needed
• Keep information confidential in accordance with security policies
• Answer phone calls and redirect them when necessary
• File and update contact information of employees, customers, suppliers and external partners
• Support and facilitate the completion of regular reports
• Develop and maintain a filing system
• Check frequently the levels of office supplies and place appropriate orders
• Document expenses and hand in reports
• Make sure clean and neat office at all times.
REQUIREMENTS
• Proven work experience as a secretary or administrative assistant
• Familiarity with office organization and optimization techniques
• High degree of multi-tasking and time management capability
• Excellent written and verbal communication skills
• Integrity and professionalism
• Proficiency in MS Office
• Certificate in front office, reception or equivalent
• A candidate without a certificate should have at least a working experience in Secretarial services.
