Purpose of the position:
To provide high-quality support to the Health and Nutrition Team Leader for effective running of the office operation; And Observe mission and core values of World Vision and demonstrate a quality of spiritual life that is an example to others.
Key Roles and Responsibilities:
Programmatic Roles Facilitate timely collection/review of program performance reports from Chief of Parties, Program Managers and compile the department monthly,
quarterly, semiannual and annual reports.
Prepare monthly Health and Nutrition Technical Programs dashboard, highlight key issues for the Leadership attention and liaise with Health & Nutrition Team leader on key priorities.
Assist Team Leader in implementing annual mentorship and coaching with Area Program, Grants, PNS manager and Cluster Health & Nutrition Specialists.
Maintain updated Health and Nutrition Grants & PNS Documents database tracking commitments, key reporting dates and other requirements Maintain an updated database for all WVT partners with regular communications with each of the partners.
Administrative Roles:
· Serve as office information manager by devising and maintaining office systems, including data management, compilation of Program performance dashboard updates, etc.
· Liaise with relevant departments to prepare/arrange meetings/ workshops venue and logistics where Health and Nutrition department is
a lead actor.
· Coordinate monthly meeting for the Health and Nutrition managers and all Specialists, take notes and make follow up with each stakeholder.
· Handle incoming mails and draft routine correspondence in response to inquiries including providing guest with general country information through email, brochures, telephone etc. as per policy.
· Disseminate reports generated after meetings and other events.
Financial Management Roles:
· Support on preparing the Purchase requisition, Travel Advance, Review department budget for the Health and Nutrition team · Participate in the preparation of the department budget, where necessary.
Qualifications:
Education/Knowledge/Technical Skills and Experience ·
The following may be acquired through a combination of formal or self-education, prior experience or on the job training:
· Education level required: Minimum of Bachelor’s degree in Home Economics and Human Nutrition /
Public Health.
· Strong Organization skills and ability to work under pressure.
· Formal secretarial training and /or proficiency in computer software like Ms excel, power point etc. will be an added advantage.
· Commitment to accuracy and attention to detail and a good command of English ·
Experience: 1 year in a relevant field.
· Work in department with many staff including virtual teams and executive assistant to senior staff.
· Excellent typing skills, written and verbal communication, proven interpersonal and customer service skills. Working Environment/Conditions:
· Work environment – Office based with occasional travel to the field.
